In Workleap Performance, all reviews are part of a review cycle. Executives and Collaborators with permission can:
- Create new review cycles
- Add or edit sections and questions
- Add or remove participants
- Add or edit translations
- Select review types
- Select due dates
- Lock or unlock review cycles
- Delete review cycles
Note: New to Workleap Performance? You may need to enable Workleap Performance for your organization's users.
Tip: When starting out, consider the different types of review cycles that could benefit your organization. What kinds of participants should you include? Set up Teams and segments to simplify managing your review cycles.
Review Types
There are three types of Performance reviews:
Self-review - Reviewees complete an assessment on themselves
Peer review - Peers who work closely together assess each other
Manager review - Direct Managers assess their direct reports
Note: You can configure a review cycle to include all three or only some of the review types listed above.
Note: All users can be assigned as peer reviewers regardless of their role, team, or inclusion in the review cycle.
Schedule & Options
When creating or editing a review cycle, you must choose a due date for each review type.
Note: Participants can still submit reviews after a review cycle's due date.
If the review cycle includes peer reviews, you must also select a recommended number of peer reviews for each participant.
Note: Only Direct Managers can assign peers and see the recommended number of peer reviews.
Notifications
Users receive two types of automated email notifications—reminders and event-based notifications. Reminders are sent automatically based on the due date you select, while event-based notifications are sent when a user performs a specific action.
Reminders
Users receive three email reminders about review cycles that include them:
- Three business days before the due date
- On the due date
- The business day following the due date (if not yet submitted)
Event-based notifications
In addition to reminders, three actions cause users to receive an email notification:
- Launching a review cycle (shows the due date)
- Submitting a review
- Sharing a review (manager and peer reviews only)
Add Participants
Select the participants you want to include in the review cycle. Add your entire organization, or add teams, segments, or members individually.
If you add your entire organization to a review cycle, you can exclude teams, segments, or members before you save.
Note: Participants without a Direct Manager can only participate in self-reviews.
Sections
The questions participants answer when completing their Performance review are divided into multiple sections. Create sections to group related questions (e.g., Improvements, Values, Difficulties, etc.). You can edit sections and questions at any time unless the review cycle is locked.
Note: Each review cycle can include up to 50 sections and questions combined.
Questions
Choose from the following types of review questions:
Rating scale - Questions that participants answer based on a customizable scale
Tip: Use rating scale questions to gather response data that's easy to analyze and compare.
Text - Questions that participants answer via an open-ended text box
Multiple choice - Questions that participants answer by choosing one of several preset answers
Note: You can limit questions to specific review types.
Tip: You can rephrase questions for another review type. For example, you could write a self-review question about personal achievements and rephrase it to create a manager review question about their employee's achievements.
Note: Duplicate questions to quickly create related questions in the same review cycle.
Lock a review cycle
You can lock a review cycle to prevent review cycles from being edited and users from submitting reviews. When locked, those with access can view review submissions in read-only mode.
Executives and Collaborators with permission can lock and unlock review cycles as needed.
Tip: Lock review cycles before analyzing review cycle data to ensure it doesn't change.
Translate Your Review Cycle
To translate review cycle content, select the drop-down in the upper right-hand corner of the form when creating or editing a review cycle. Select Manage languages, then enable questions in French or English.
Now, you can use the same drop-down to switch between languages. Select Add translation next to each question to translate your content.
Note: Workleap Performance appears in your organization's primary language by default. Employees always see the app in the language they've set in their Workleap settings (Edit profile > Preferences > Global settings).
