Manage your schedule easily by syncing Officevibe with your main Google or Outlook calendar. This eliminates the need to schedule them in Officevibe too. Your preferred calendar is now the only source of truth.
The ability to create and schedule 1-on-1s using the calendar integration is available to Executive Managers and Team Managers. Team Members do not have this option available on Officevibe.
How it works
The Managers can begin their Calendar integration after Inviting their Team Members to collaborate on the 1-on-1s tab of their Officevibe subscription.
1. Invite a member to collaborate
Step 1: Click the "Invite a member" button on the 1-on-1s tab. If there are no preexisting 1-on-1 meetings displayed, the Manager can create a new 1-on-1.
Step 2: Select Team Member to schedule the meeting with. You can also select other Managers on the window prompt below. Click Invite to continue.
The Managers and Team Members can invite only one participant for the selected 1-on-1.
2. Connect to my main calendar
The main calendar integration is a one-way integration. Officevibe uses Google as the source of truth for 1-on-1 scheduling - i.e., if you change the scheduled time from your calendar, the latest updates will be reflected in Officevibe. Schedule changes will not be pushed from Officevibe to Google or Outlook.
The Outlook Calendar integration is currently in production and will be available to our users soon.
To begin your Google calendar integration,
Step 1: Click the Schedule button in the agenda with the invited Team Member.
Step 2: Click Connect with my Google Calendar to proceed with the integration.
If your 1-on-1 was previously scheduled manually, then the Google or Outlook integration will overwrite the schedule details.
Step 3: You will be directed to the Google login page where you will be asked to enter the login credentials of your Google account.
Step 4: Click the Select all button and then click Continue to grant access to Officevibe for the main calendar integration. Once consent is provided, integration is set.
Permissions must be accepted for calendar integration to be successful. If the 1-on-1 participants do not provide consent, they will be able to retry and connect.
Step 5: The Calendar type is selected by default. Click Select calendar to continue to the next step.
Step 6: Upon calendar selection, Officevibe will display all calendar events available.You will now be able to Connect to a Google meeting by selecting the meeting from the list. These meetings must be created beforehand in Google calendar.
Once you have selected the event, the synchronisation will be executed. The selected event date and time will then be displayed in the agenda. Calendar changes can take up to a couple of minutes to display changes in Officevibe.
A meeting reminder is sent three days before the scheduled 1-on-1s on Officevibe.
Step 7: You can unlink the Google meeting synchronization from Officevibe by clicking the Disconnect button.
3. Disconnect from Google
The Google integration can be removed at any time.
We do not store your Google calendar data after the integration is removed from Officevibe.
To disconnect from Google in Workleap Officevibe, follow the instructions below:
Step 1: Click on the calendar details for the 1-on-1 scheduled before.
Step 2: Click Disconnect Google Calendar to proceed.
Step 3: Click Disconnect to confirm.
Once the integration is disconnected, all calendars linked to the agenda will be deleted and the meeting date of those agendas will be unscheduled. The option to schedule the meeting manually will remain available.
Officevibe's calendar integration does not support calendar events created by third-party applications outside Google and Outlook.
4. Troubleshooting
If your agenda schedule isn't updated within 2 minutes or if you're getting inconsistent results, the simplest solution is to unlink and then relink your agenda.
All-day events are not supported. If you link your agenda to an event and later change that event to an all-day event, your agenda will be unlinked.
When working with recurring events and making updates in Google Calendar, it's advisable to apply changes to "All events." Selecting "This event" or "This and following events" can potentially disrupt the agenda synchronization, and wrapping up the current agenda may not necessarily create a new upcoming agenda.
Calendars that are marked as read-only, such as holidays and birthdays, are not supported. Therefore, linking an agenda to an event from these calendars is not possible.
