Whenever we share our honest thoughts and open feedback on something that is sensitive, we as humans tend to err on the side of caution. We doubt and question the forum we're about to use to share our personal thoughts. We feel you! We've gone through the same process using Officevibe internally.
One of the questions we most often get is: Is Officevibe really anonymous?
Anonymity is precisely what we'll be covering in this article. We're showing you how it works!
Always open, always honest. That's what you can expect from Officevibe. We truly care about what we do and don't want to mess with your trust.
Here's a quick walk-through of what Officevibe is, how it works and most importantly, what you can expect when using it.
The three following sections contain general information about Officevibe. If you're already comfortable using the tool, you can skip right to the juicy part!
First, what is Officevibe?
Officevibe is an online platform that focuses solely on measuring and improving Employee Engagement. Our Pulse Surveys and Feedback flows provide you with a quick, simple and trustworthy way to give Feedback to your organization on a continued basis to help improve the culture.
Why should I participate?
Clearly, people are important to your organization. Otherwise, they wouldn’t have implemented Officevibe! By answering our short Surveys on a continued basis, you are providing timely and valuable data, therefore contributing directly to improving your organization’s culture. Officevibe is your voice so speak up! Help shape a healthy and motivating workplace where you can thrive and grow.
How does it work?
Officevibe is simple. Each week, we prompt employees to answer five questions and provide management with the opportunity to give open Feedback as well. We have other features in the Application as well, such as the Praise Game, Face Game and Custom Polls, but those are covered in other areas.
How Anonymity works throughout the Application
When you answer our Survey questions, your responses are converted into scores which are then displayed in reports. We refer to your answers and those of your peers to calculate the Engagement Scores for each Officevibe Engagement Metric.
Aggregated data means that you won't have access to information about who submitted which response to which question. If for example your team scores 8 out of 10 for the Happiness Metric, Managers don’t see which individual scores were given to end up with a final 8 Metric Score.
Note: To protect your anonymity, reports are not available to Managers if the group contains less than 2 participants. Otherwise, reports will display.
Through the Feedback feature, you can share your thoughts with your organization. It's important that you know that your feedback is anonymous by default in Officevibe. You can change the setting to show your identity if you wish to do so.
Managers see feedback listed in a Feedback Page. They see that it’s written from Anonymous Employee unless you choose to have your name displayed.
Even if Feedback is anonymous, managers can reply to it. When your Manager replies, you will receive a notification and you'll be able to continue the conversation as needed. Once again, your name isn’t displayed unless you decide otherwise.
Note: To protect your anonymity, anonymous Feedback will only be shown to the Manager if there are at least 5 participants in the group they manage. Feedback that is not anonymous will be visible.
It's always better to share your feedback and see improvements than to continue living with a less than ideal situation. Also keep in mind that feedback is a two-way street. This means that if you've left feedback and your manager has replied and asked you to elaborate or share possible solutions, take the time to think it over and share a reply. Your input and ideas count!
Who sees my feedback
Your direct Manager sees your feedback, based on the rules we've explained above. It is possible for other individuals inside your organization to see your Feedback. As an example, someone in the Human Resources department might have permissions to view Feedback and Reports across the company, just like a President or CEO might have access to groups under his management.
Note: As this reality differs from one organization to another, we invite you to discuss this point with the appropriate person at your organization so that you can get an accurate understanding our your organization's setup in Officevibe.
When adding you as a participant in Officevibe, your organization will input some of your personal information into the platform. This includes:
- Your email address
- Your first name
- Your last name
- Your job title
- Your group information
- Your profile picture
Status & Participation
Participation is key for Officevibe to work and help your organization improve - no data, no improvement.
Therefore, if you don’t participate regularly in the Surveys, your Manager – or the person that manages Officevibe inside your organization – may send you an email nudge. The objective is strictly to encourage you to continue to share your opinion.
Note: The only information available is your participation rate when you fall into what we call ''inactive mode''. Your Survey answers and feedback remain anonymous.
Wondering how all the information you input into the platform is handled by Officevibe?
First of all, all data is stored in our secure servers and is protected by strict rules and protocols. Also, when handling what we call Customer Data, we're always extremely mindful of your privacy. As such, we have strict internal processes that ensure that your identity remains confidential and that all the data you input into the platform is never shared with your Employer.
Also, you should know that your Employer is governed by terms and conditions that protect your identity (unless you have chosen otherwise) and that commits them to using the platform appropriately.
Lastly, you may have noticed that we sometimes pull out stats, high-impact percentages, etc. to demonstrate inside our Blog why Employee Engagement is key to an organization's success. Theses stats come from the million data points we've acquired through our user's responses to Surveys but rest assured, all of this data is always aggregated and taken from an immense pool so that the sources can remain anonymous at all times.
Officevibe takes anonymity very seriously.
